Privacy Policy

Effective 13 September 2026.

This policy covers this website and the UniteTrip app (together, "the service"). The service is operated by UniteTrip (Ken Paulsen, United States), which is responsible for the platform. Each trip is run by the organization named on it, which is responsible for how it uses the information you give it for that trip. We collect no personal information beyond what you enter yourself, we use it only to run the trips you take part in, and we never sell it.

What we collect

  • Account and profile: name, email address, phone number, postal address, date of birth, and the sign-in method you choose (a password, a one-time email code, a passkey, or Face ID on your phone, which never leaves the phone).
  • Travel details, only when a trip asks for them: passport details, a TSA or Known Traveller number, an emergency contact, and answers to the trip's registration questions (dietary needs, room preferences and similar).
  • Family: the profiles a family manager creates for the people they travel with.
  • Trip activity: the messages, photos and comments you post in a trip's chat, your reactions, who you have blocked, and your registration and payment history.
  • Payments: the amount, date and status of payments you make. Card and PayPal details are entered on PayPal's pages and handled by PayPal; we never receive your card number.
  • Technical: the sign-in tokens for your devices, and standard server logs (address, page, time) kept briefly for security and troubleshooting. Photos you upload have their location and camera metadata removed before they are stored.

We do not collect your location, your contacts, or advertising identifiers, and the app contains no analytics or advertising software.

How we use it

  • To run the trips you register for: rosters, itineraries, rooming, payments and the trip chat.
  • To let the organization running your trip contact you about it.
  • To keep the service secure: sign-in, abuse prevention, and an audit trail of administrative actions.
  • To respond when someone reports content, and to enforce the Terms of Use.

Who sees it

  • The organization running your trip and the people it appoints as trip organizers see your registration, travel details and payments for that trip. Organizations never see another organization's data.
  • Other travellers on your trip see your name, your profile picture, what you post in the trip chat, and whatever you choose to share in your profile's privacy settings.
  • Service providers that host and deliver the service on our behalf: Amazon Web Services (hosting, storage and email delivery, United States) and PayPal (payments).
  • Nobody else, unless the law requires it.

How long we keep it

Your account and its content stay while your account exists. Trip chats keep the most recent messages per trip and are archived when a trip ends. Server logs are kept for a short period. Registration and payment records are kept by the organization for its accounting, as the law and the trip's contract require.

Deleting your account

You can delete your account in the app at any time (Settings → Account → Delete Account). Your sign-in, profile, messages, photos and comments are erased immediately and permanently. Records of your trip registrations and payments are kept by the organization with your name and contact details removed. You can also ask us at the address below, and we will confirm when it is done.

Your choices

  • Edit your profile and its privacy settings in the app or on the website at any time.
  • Block people, report content, and leave a trip chat from the app.
  • Sign out of any device from the app's Signed-in devices list.

Children

Accounts are for people aged 13 and over. Younger travellers appear only as family-member profiles created and managed by an adult family manager.

Cookies this site uses

The app uses no cookies. This website uses these:

  • JSESSIONID: your sign-in session, so the site knows it is you from one page to the next. It lasts until you sign out or the session expires. On organization sites this cookie is shared across *.unitetrip.com, so one sign-in covers every organization's site.
  • trip_remember: set only when you choose to stay signed in; it lets the site sign you back in on a later visit.
  • trip_consent: your answer to the analytics question below, kept for a year so you are not asked again.
  • Google Analytics cookies (_ga and similar): anonymous usage statistics, set only after you accept analytics cookies, and only on sites that have enabled analytics at all. Rejecting them, or never answering, sets none of them.

Cookies for sign-in are needed for the site to work; the analytics cookies are optional and you can change your answer by clearing this site's cookies in your browser.
